Set up the Field Tech App
The Field Tech App is a mobile-friendly web app your technicians use on site to create an invoice, send the customer a payment link, and push the invoice straight into your books, without access to your dashboard. About 10 minutes to configure. Finish the main setup first.
1. Get your products ready
≈ 5 minutesEvery product needs a Sales account
Technicians pick items from the product catalogue in your invoicing platform, and each line carries its income account into your books. Set a Sales account on every product, and set a tax rate on each so your books apply the right tax. If a product has no tax code, your platform applies its own defaults.
In Xero
- 1
Open your product catalogue
In Xero, go to Business, then Products and services. These are the items in your technicians' picker. - 2
Create or edit each product
On the Sales tab set the Sales account, the Tax rate, and (optionally) a Unit price, which pre-fills in the app and can be changed on site if you allow it. - 3
Mark it as sold
Tick I sell this item. Items without it do not appear in the app.
In QuickBooks Online
- 1
Open Products and Services
Go to Sales, then Products and Services and create or edit an item. Service and Non-inventory items both work. - 2
Set the Income account and Sales tax
Pick the Income account (required by QuickBooks) and the applicable sales tax code.
In GoHighLevel
Technicians pick from your GoHighLevel products. If the list is empty, your connection predates the products permission: disconnect and reconnect GoHighLevel once.
2. Turn it on and add technicians
≈ 3 minutesYou'll need
Your invoicing platform and Stripe connected to Win!, as in the main setup.
- 1
Switch on the Field App
Go to Connections, open the Field App tab, and switch on the Field App toggle. - 2
Sales tax
For Xero and QuickBooks, sales tax comes from your products, account defaults, and customer settings in your books. Win! has no tax rate for you to set. (Only GoHighLevel shows a default tax rate and a lock for technicians.) - 3
Add each technician
Click Add technician. Enter a name; email and mobile are optional. Win! creates an invite code and a PIN, shows them once, and emails or texts them with the sign-in address if you gave an email or mobile number. - 4
Choose what each technician may do
Per technician you can allow changing prices, adding customers, and adding products. - 5
Technicians sign in
The technician opens the sign-in address from the invite (it ends in /field/ on your domain), enters the invite code, then the PIN. They can add the page to their phone's home screen. It works in any modern phone browser.
3. How a technician creates an invoice
- 1
Tap New Invoice
From the technician's dashboard. - 2
Pick or add the customer
Search by name or email, or tap New customer (email, mobile, name) if you have allowed it. Win! creates the contact in your books if needed. - 3
Add items
Choose catalogue items, or tap Add custom item for anything not in the catalogue. Adjust the quantity and, if allowed, the price. - 4
Review
Tap Review invoice. For Xero and QuickBooks the books add sales tax, so the exact total appears after the invoice is sent. - 5
Create & Send
Tap Create & Send (or Save as draft, which sends nothing). Win! creates the invoice in your books and emails the payment link if the customer has an email address. Otherwise the technician uses Copy link or Share to text it. You are also notified of each field invoice. - 6
The customer pays
They pay by card or US bank account on the payment page. The payment is written back to the invoice in your books, and each technician sees only the invoices they created.
4. If an invoice does not reach your books
If pushing an invoice fails (for example a product is missing its Sales account), the invoice stays in Win! with the error recorded, and Xero and QuickBooks field invoices are retried on the hourly sync. To retry straight away:
- 1
Fix the product
The usual cause is a product without a Sales account. Fix it in your platform. - 2
Click Sync Field Invs
On Connections, open the Field App tab and click Sync Field Invs. This is available for Xero and QuickBooks.
